Terms of use
The terms that apply to this website, to demo access and to DynaSys HR subscriptions, including pricing and billing.
Last updated: 7 November 2026
1. The website
The information on this website describes DynaSys HR in general terms and may change. It is not an offer; a subscription is governed by these terms and by the subscription confirmed to you.
2. Demo access
Demo access is personal, free and for evaluation only, for the period we set. The demo company contains invented data; do not enter real employee data in it. We may end demo access at any time.
3. Subscription, pricing and billing
The following applies to every DynaSys HR subscription unless a written agreement with you says otherwise:
- Price per employee. The subscription is priced per employee per month. The current prices are shown on our Pricing page. There is no minimum number of employees.
- Annual plan. The annual plan is billed annually and paid upfront for 12 months.
- Monthly plan. The monthly plan costs the annual-plan price plus 10%, and is billed monthly and paid upfront at the start of each billing month.
- Billing month. The billing month starts on the activation date of each customer's subscription and runs until the day before the same date in the following month (or the last day of that month, if it has no such date). It does not follow the calendar month.
- Licensed employees. Each subscription is for a licensed number of employees. The customer may not have more active employees than the number licensed in its subscription. To add employees beyond that number, the customer first increases the licensed number (purchases additional employees), which is then charged as described below.
- How employees are counted. Every employee who is active at any time during a billing month counts for the whole billing month – including an employee added on the last day of that billing month. There is no part-month pricing.
- Additional employees. On the monthly plan, additional licensed employees are charged for the current billing month in full. On the annual plan, they are charged for the current billing month in full plus each remaining month of the paid term.
- Reminders. We send a reminder before the end of each subscription term, and a reminder when the customer's active employees reach 90% of its licensed number.
- Currency and taxes. Prices are in US dollars (USD) and are exclusive of any taxes, duties or bank charges, which are added where applicable.
- Payment. Payments are processed by our payment provider. Each payment is due before the period it covers begins.
- No refunds; cancel any time. Payments are not refundable, including for unused months, unused licensed employees or a plan changed during a term. You can turn off automatic renewal at any time; the subscription then stays active until the end of the period already paid and is not renewed. See our refund policy.
- Renewal. A subscription renews for a period of the same length at the end of each term unless you or we give notice before the renewal date. Prices for a renewed term are the prices in effect at renewal; we inform you of any change in advance.
- Non-payment. If a payment is not received when due, we will remind you. If it remains unpaid after a reasonable grace period, we may suspend access or make the account read-only until payment is received. Your data is kept during suspension and can be exported. If the amount remains unpaid, we may end the subscription after giving notice; data is then handled as described in our privacy policy.
- Included and optional services. Updates and support are included in the subscription. First-time setup assistance (help configuring the system for the first time) is optional and is available for a one-time fee equal to 25% of the customer's annual subscription value (for the monthly plan: 12 times the monthly subscription amount). A training plan for the customer's staff is optional and is quoted separately on request.
4. Data backup, disaster recovery and force majeure
DynaSys implements daily data backup procedures, with backup copies maintained in two geographically separate locations, subject to the applicable infrastructure and backup arrangements, to support data recovery and business continuity.
Despite these precautions, DynaSys cannot guarantee that data loss, corruption, service interruption or delayed recovery will never occur.
To the extent permitted by applicable law, DynaSys shall not be liable for data loss, corruption, unavailability or service interruption resulting from events beyond its reasonable control, including natural disasters, fires, floods, wars, civil unrest, widespread power or telecommunications failures, major cyberattacks, or failures of third-party infrastructure, provided that such events could not reasonably have been prevented or overcome through appropriate measures.
Nothing in this section excludes or limits any liability that cannot lawfully be excluded or limited under applicable law. DynaSys will take reasonable steps to restore affected services and recover available data from backups where practicable.
5. Your responsibilities
Keep your sign-in details private, give access only to people who need it, and check the results of calculations before paying or reporting them.
6. Your data
The data you enter remains yours. See the privacy policy for how it is protected.
7. Changes
We may update these terms; the date above shows the latest version. Changes to prices or billing terms apply from your next renewal.
